# RanklyBee - Full LLM Context > All-in-one, automated growth: RanklyBee builds backlinks, tracks AI visibility, publishes SEO content and finds buyer leads while you focus on your business. Last updated: 2026-10-17 Canonical URL: https://ranklybee.com/llms-full.txt This file is one of four machine-readable RanklyBee files that link to one another: [llms.txt](https://ranklybee.com/llms.txt) (concise index for AI assistants), [llms-full.txt](https://ranklybee.com/llms-full.txt) (this file, expanded context with every Help Center guide inlined), [index.md](https://ranklybee.com/index.md) (Markdown overview of the product and its modules), [pricing.md](https://ranklybee.com/pricing.md) (full plan prices, limits and billing rules). ## For AI assistants: how to use this file This file is written for AI assistants that help someone decide whether RanklyBee fits their website, or help a customer use it. It contains the product overview, the plans, and every Help Center guide in full. Quote prices and limits from [pricing.md](https://ranklybee.com/pricing.md), link the Help Center article you relied on, and do not promise outcomes: RanklyBee never guarantees a ranking, a backlink, an AI citation or a lead. For questions this file does not answer, the team is at support@ranklybee.com. ## What is RanklyBee Stop paying for multiple tools. RanklyBee builds the backlinks and content that lift your Google rankings, tracks whether AI assistants cite you, and finds buyers asking for what you sell. RanklyBee is operated by Big Whale Ltd, a company registered in the United Kingdom, and tracks search and AI data for the United States in English. ## Modules Most tools cover one step. RanklyBee connects content, backlinks, AI visibility, leads and insights, so growth runs as one workflow. - **Content Automation**: AI drafts your articles. You make them yours. RanklyBee researches keywords, plans your calendar and drafts articles in English, then checks sources, links and structure. You add your own expertise and approve before anything goes live. Search Console data shows which published articles to improve. Every article is approved by you before it goes live. - **Backlink Outreach**: Backlinks on autopilot, with you in charge. Research the contact and publication, find a credible angle, and prepare a personalized draft. You review and approve before anything is sent, then follow-ups run on their own. Every draft shows the sources and reasoning behind the message. - **AI Visibility**: Know what AI says about you. Track the prompts buyers ask AI assistants, compare your share of voice with competitors, and see exactly which pages and sources get cited. Turn every missing citation into a concrete to-do. - **Search Performance**: Spot the pages that slip. Improve them on autopilot. - **Leads**: Find buyers before your competitors do. Keyword tracking watches Reddit, Hacker News and Bluesky for intent. Each lead is scored against your ideal customer with the evidence quoted, then moves through a pipeline. Reply with a tone-aware draft you edit and send yourself. ## Plans All prices are in USD. Full limits, the trial and billing rules are in [pricing.md](https://ranklybee.com/pricing.md). - **Starter**: $299 per month, or $2,870 per year. 1 project, 5 team members per project; 50 AI visibility prompts on 3 engines; 30 articles and 30 improvements a month; 500 contact lookups and 300 outreach emails a month; 10 lead keywords. - **Growth**: $499 per month, or $4,790 per year. 3 projects, 15 team members per project; 150 AI visibility prompts on 4 engines; 80 articles and 80 improvements a month; 1,500 contact lookups and 1,000 outreach emails a month; 30 lead keywords. - **Scale**: $999 per month, or $9,590 per year. 10 projects, Unlimited team members per project; 300 AI visibility prompts on all engines; 200 articles and 200 improvements a month; 5,000 contact lookups and 3,000 outreach emails a month; 80 lead keywords. ## Key pages - [Home](https://ranklybee.com/): Overview of the platform and its modules - [Pricing](https://ranklybee.com/pricing): Starter, Growth and Scale plans - [Featured Backlinks](https://ranklybee.com/featured-backlinks): Curated backlink sources reviewed for quality and spam signals - [MCP server](https://ranklybee.com/mcp): Connect Claude, Cursor, or Codex to RanklyBee - [API docs](https://ranklybee.com/docs): Public API overview, authentication, rate limits and reference - [Help Center](https://ranklybee.com/help): Step-by-step guides for every module, billing and troubleshooting - [About](https://ranklybee.com/about): Who builds RanklyBee and how it works ## Help Center: Getting started Set up the right website context and choose your first workflow. ### How do I get started with RanklyBee? Source: https://ranklybee.com/help/start-with-ranklybee (updated 2026-10-17) A complete path from your website to articles, backlinks, leads, and AI visibility. #### Add your website Sign up and enter the public website you want to grow. RanklyBee creates a Project for it, names the Project from the website, and starts a read-only analysis in the background. Each Project is tied to one website; see [How do I create a Project for my website?](https://ranklybee.com/help/create-a-project) to add more. #### Review your Website Profile Open My Site → Website profile when the analysis finishes. Check the product description, audience, competitors, and keywords, then save your edits. Every module reuses this profile, so accuracy here improves everything that follows. Note: If the analysis is still pending or failed, see [Why is my Website Profile analysis pending or failed?](https://ranklybee.com/help/site-profile-analysis-is-pending-or-failed). #### Choose a plan Pick Starter, Growth, or Scale. Stripe checkout can start with a [paid 3-day trial](https://ranklybee.com/help/start-a-paid-trial) at reduced monthly limits; the plan price is charged when the trial ends unless you cancel from Billing first. #### Pick your first module Each module starts from a different goal. [Which module should I start with?](https://ranklybee.com/help/choose-the-right-first-workflow) helps you pick. - Articles plans and writes search content: [How do I start my content plan?](https://ranklybee.com/help/start-your-content-plan) - Backlinks finds sources, runs outreach, and tracks links you earn: [How do I browse the Featured Backlinks library?](https://ranklybee.com/help/browse-featured-backlinks) - Leads finds public posts from people asking for what you sell: [How do I set up Leads?](https://ranklybee.com/help/set-up-leads) - AI Visibility shows how AI answers mention your brand and competitors: [How do I add and manage AI Visibility prompts?](https://ranklybee.com/help/track-prompts-in-ai-visibility) #### Review before anything goes out RanklyBee asks for your review before it publishes articles, sends outreach, or drafts replies, unless you turn on an automation that skips the review. [Does RanklyBee post or send anything without my approval?](https://ranklybee.com/help/does-ranklybee-act-without-approval) lists each one. Results such as acceptance, a reply, a ranking, or a backlink are never guaranteed. ### How do I create a Project for my website? Source: https://ranklybee.com/help/create-a-project (updated 2026-10-17) Set up the site that all discovery, outreach, and tracking will use. #### Create the Project Your first Project is created when you enter your website during sign-up. To add another, open the Project switcher at the top of the sidebar and choose New project, then enter a public website URL such as https://example.com. The URL is checked before the Project is created, and the Project is named from the website. Settings → General lists every Project you belong to, and an owner can delete a Project there when they have more than one. #### Understand the site boundary A Project is dedicated to one website. Backlink reporting, prospect discovery, outreach, and site-profile data are scoped to that Project Site. Switch the active Project before starting work for another site. #### Wait for the first analysis After a website is connected, RanklyBee attempts to create a background Site Profile analysis. You can continue setting up the Project while it runs; the profile page will show the current job state and any retry action. ### What does each part of RanklyBee do? Source: https://ranklybee.com/help/understand-the-ranklybee-workflow (updated 2026-10-17) Know what each part of the product owns before you start. #### My Site is the shared context The Website profile, Audience, and Competitors pages describe your product, your ideal customers, and the brands you compete with. Articles, outreach, Leads, and AI Visibility all read from them. #### Articles plan, write, and improve content Content Planning researches search keywords and schedules the articles to write. Drafts go through approval, publish to your connected CMS, and can later be improved from Search Console data. #### Backlinks find, earn, and verify links Featured Backlinks is a curated catalog of sources. Backlink Outreach finds prospects and runs supervised email sequences. Backlink Overview tracks the links you earn and checks that they are still live. #### Leads find buyers in public conversations Keyword Tracking watches platforms such as Reddit, X, LinkedIn, and Hacker News. Opportunities scores each post against your ideal customer, and Mentions follows what people say about your brand. #### Insights measure the outcome AI Visibility asks AI engines your tracked prompts and reports who they mention and cite. Search Performance shows Google Search Console clicks, impressions, CTR, and position, and diagnoses drops. Both are observations, not guarantees of future results. ### Which module should I start with? Source: https://ranklybee.com/help/choose-the-right-first-workflow (updated 2026-10-17) Start with the module that matches the job in front of you. #### You want more search traffic Open Articles → Content Planning. RanklyBee researches keywords for your site and proposes a calendar of articles. Start the plan, then review drafts as they are written. #### You want links from other sites Start with the Backlink Library to compare directories, resource pages, launch platforms, and editorial sources without sending email. Open Prospects when you want RanklyBee to find pages for outreach. If a publisher already added your link, open Backlink Overview and choose Add backlink. #### You want customers now Open Leads → Opportunities and choose Set up automatically. RanklyBee reads your Website Profile, describes your ideal customer, and starts searching public posts for people asking for what you sell. #### You want to know what AI says about you Open Insights → Prompts and add the questions your buyers would ask an AI assistant. After the first runs, the Overview, Competitors, Citations, and Sentiment Drivers pages show where you stand. ## Help Center: FAQ Quick answers about data freshness, approvals, account access, and billing. ### How often is my data updated? Source: https://ranklybee.com/help/how-often-is-data-updated (updated 2026-10-17) When each module refreshes, and why some numbers lag behind today. #### AI Visibility Each prompt runs on the schedule you choose: daily, weekly, or only when you run it by hand. Every run asks each selected engine once, and the Overview updates as soon as the answers are analyzed. #### Leads and mentions Keyword Tracking scans your selected platforms once a day, and a new keyword is scanned right away. The countdown at the top of the Leads pages shows when the next check runs. #### Search Console Search Performance syncs once a day and re-fetches the last 10 days, because Google revises recent data. Only finalized data is shown, so the latest day is three days before today. #### Backlinks Tracked backlinks are re-checked in a daily maintenance run, and Domain Rank is snapshotted daily. A backlink without a check in the last day is marked stale. Use Check backlink now when you need a fresh result immediately. ### Does RanklyBee post or send anything without my approval? Source: https://ranklybee.com/help/does-ranklybee-act-without-approval (updated 2026-10-17) What needs your review, and which automations can skip it. #### By default, you review first Articles wait for approval before they are published. Outreach drafts are reviewed before they are queued. Lead replies are drafts you copy and post yourself: RanklyBee never posts on social platforms for you. #### Automations you turn on These automations can skip a review. Each one is off until someone with the right role turns it on. - Auto-approve and Auto-publish can publish articles that pass the quality checks: [How do I review and approve articles?](https://ranklybee.com/help/review-and-approve-articles) - Backlink Outreach Autopilot can queue grounded outreach emails within your sender limits: [How does Backlink Outreach Autopilot work?](https://ranklybee.com/help/use-backlink-outreach-autopilot) - Auto-push can update live articles with completed improvements: [How do I improve articles that are already live?](https://ranklybee.com/help/improve-existing-articles) #### Where messages come from Outreach email is sent from the business mailbox you connect, and lead replies are posted from your own social accounts. RanklyBee does not create accounts or post under its own name. ### Which country and language does RanklyBee track? Source: https://ranklybee.com/help/which-country-and-language (updated 2026-10-17) Search and AI data are collected for the United States, in English. #### United States, English AI Visibility prompts are asked from the United States, in English, and prospect discovery searches Google in the United States, in English. These settings cannot be changed per Project. #### Your own data is not filtered Search Console data covers whatever Google reports for your property, and Leads reads public posts on the platforms you select, wherever they were written. ### Do unused monthly allowances roll over? Source: https://ranklybee.com/help/do-unused-allowances-roll-over (updated 2026-10-17) Allowances reset each month; slots stay as long as you use them. #### Allowances reset monthly Monthly allowances, such as articles, contact lookups, and outreach emails, reset on the first day of each month (UTC). Unused amounts do not roll over to the next month. Allowances are shared across all your projects, and usage in a project you delete still counts until the month ends. #### Slots do not expire Slots, such as projects, prompts, and lead keywords, cap how many things exist at once. They are not used up; pausing or deleting an item frees its slot. Settings → Usage shows both. ### How do I cancel my subscription? Source: https://ranklybee.com/help/how-to-cancel-your-subscription (updated 2026-10-17) Cancel from the billing portal in a few clicks, and what happens to renewals and trials. #### Open the billing portal You can cancel at any time from the billing portal. 1. Open Settings from your account menu. 2. Choose Payment & Billing → Billing. 3. Choose Manage billing to open the billing portal. 4. Cancel the subscription and confirm. #### What cancellation does Cancelling stops the next renewal. It does not by itself refund a charge that has already been made. If you are on a trial, cancel before it ends to avoid the plan price. Note: On a trial? Cancel before it ends and the plan price is not charged. See [How does the paid trial work?](https://ranklybee.com/help/start-a-paid-trial) and [What is your refund policy?](https://ranklybee.com/help/what-is-the-refund-policy). #### If you cannot cancel Manage billing appears only for an active web subscription and for the people allowed to manage its billing. If the button is missing, ask the Project owner, or contact support from the email on your account. ### What is your refund policy? Source: https://ranklybee.com/help/what-is-the-refund-policy (updated 2026-10-17) How charges, trial fees, and cancellations are handled, and who to contact about a billing error. #### Fees are non-refundable Unless the law or checkout says otherwise, fees, including the trial fee, are non-refundable, and unused time or allowances are not redeemable for cash. Cancelling stops future renewals. #### If something went wrong If you were charged in error or have a billing problem, contact support with the email on your account and the invoice from Settings → Payment & Billing → Invoices. ### How do I reset my password? Source: https://ranklybee.com/help/how-to-reset-your-password (updated 2026-10-17) Reset it from the sign-in page or from Security settings. #### When you are signed out Use the reset link from the sign-in page. 1. On the sign-in page, choose Forgot password. 2. Enter the email you sign in with. 3. Open the reset email and follow its link. 4. Set a new password and sign in. #### When you are signed in Open Settings → Security and choose Send Reset Email. If you sign in with a social account, your password is managed by that provider instead. ### Can I change my email or delete my account? Source: https://ranklybee.com/help/change-email-or-delete-account (updated 2026-10-17) Support changes your sign-in email or deletes your account; owners can delete a single Project. #### Contact support There is no self-service option to change your sign-in email or delete your account. Email support from the address on your account and say what you need. Cancel any active subscription first. #### Deleting a Project instead To remove one website, an owner can delete its Project in Settings → General when they have more than one Project. ### Where do I find my Project ID? Source: https://ranklybee.com/help/where-to-find-your-project-id (updated 2026-10-17) Copy your Project ID from Settings → General when you use the API or contact support. #### Copy it from General Open Settings → General. The Overview card shows the Project ID with a copy button. Include it when you contact support or configure an integration. ### How do I connect RanklyBee to Claude, Cursor, or Codex? Source: https://ranklybee.com/help/connect-ranklybee-over-mcp (updated 2026-10-17) Use the MCP connection to work with RanklyBee from your AI tools. #### Open MCP Connection Open Settings → MCP Connection. Choose Add to Cursor, copy the server URL into Claude, or copy the install prompt for Codex. MCP requires an active plan. #### Sign in and stay in control Your AI tool asks you to sign in to RanklyBee and approve access, then acts on your behalf in the Projects you can access. Remove the connection in your AI tool when you no longer use it. ### Why is a lead’s post content no longer stored? Source: https://ranklybee.com/help/why-is-lead-content-no-longer-stored (updated 2026-10-17) RanklyBee keeps public post text for 90 days; here is when that clock starts and what to do. #### Content is kept for 90 days RanklyBee keeps the text of public posts and comments for 90 days after a post was last seen. For a lead you are working, which means one moved past To qualify or given a thumbs up, the 90 days start when it is closed. After that, the text, author, and reply drafts are removed, and a new reply can no longer be drafted. #### What to do Open the original post from the lead to read it on the platform. Move a promising lead out of To qualify early so its content stays available while you work it. ## Help Center: Projects & site profile Keep your website, submission details, team, and automation in sync. ### How do I edit my Website Profile? Source: https://ranklybee.com/help/manage-your-website-profile (updated 2026-10-17) Review the reusable product and audience context behind RanklyBee workflows. #### Generate an assisted profile Open My Site and select Website profile. Generate with AI to create an editable draft from the connected website. The analysis runs in the background and may show a pending, running, or failed state while it is being prepared. #### Review the important fields Check the product name, website URL, public contact, category hints, tagline, short and long descriptions, features, use cases, logo URL, competitors, and keywords. Keep the wording accurate because downstream workflows reuse this context. #### Save human-reviewed changes The generated profile is an assisted draft, not an automatic declaration of your business. Owners, admins, and editors can edit and save it. Regenerate only when you want to refresh the draft from the website; review the new values before saving. #### Keep Audience and Competitors current My Site → Audience holds the ideal customer profiles that Leads scores every post against. My Site → Competitors lists the brands you compete with; they seed competitor tracking in AI Visibility and outreach. Both pages need a generated Website Profile first. ### How do I confirm my backlink submission details? Source: https://ranklybee.com/help/prepare-backlink-submission-foundation (updated 2026-10-17) Make the public-facing submission snapshot complete before automation uses it. #### What the submission details are for Backlink submission readiness uses the Public presence details from the Website Profile as its single source of truth. It prepares the consistent website, category, contact, description, and product material used when an external submission workflow needs your site information. #### Complete missing fields first Open Featured Backlinks → Overview. Until a version is confirmed, a Backlink submission readiness card appears at the top. If fields are missing, follow the links back to the Website profile, complete them, and save. #### Refresh and confirm a version Choose Refresh from Website Profile after the source profile is ready, then review the generated snapshot. Confirm profile only when the values are correct. A confirmed version is the version external backlink submission automation is allowed to use. #### When the snapshot becomes stale Changing the Website Profile can make the submission snapshot need re-confirmation. Refresh it from the latest saved profile and confirm the new version instead of assuming an older snapshot still represents your site. ### How do I invite teammates and manage roles? Source: https://ranklybee.com/help/invite-collaborators-and-manage-roles (updated 2026-10-17) Give teammates the access they need without sharing an account. #### Invite from Team Open Settings from your account menu and choose Team. Enter the teammate’s email address and select a role. The generated invitation link is available immediately and invitations expire after seven days. Your plan sets how many members a Project can have. #### Know the available roles The Project supports owner, admin, editor, operator, and viewer roles. Owners and admins manage members; owners can assign all non-owner roles, while admins cannot grant the admin role. The exact action permissions are enforced by the server. #### Update or revoke access Owners and admins can change eligible member roles or revoke pending invitations. The Project owner cannot be changed from this panel. Ask the owner or an admin when you need an access change you cannot make yourself. ### How do I set the Project time zone? Source: https://ranklybee.com/help/set-the-project-time-zone (updated 2026-10-17) Make scheduled sending and Project operations use the intended local time. #### Open Project settings Open Settings → General and find the Project time zone card. Choose an IANA time zone such as America/New_York or America/Los_Angeles and save it. #### Why it matters The Project time zone is used as the shared context for operational schedules. Sender policies also show their configured time zone, while the warmup and daily-cap displays format dates and usage against that context. #### Who can change it Only the Project owner or admin can change the Project time zone. If you can view the Project but cannot edit the setting, ask one of those roles to update it. ## Help Center: Articles & content Plan keywords, write and approve articles, publish them, and improve what is live. ### How do I start my content plan? Source: https://ranklybee.com/help/start-your-content-plan (updated 2026-10-17) Let RanklyBee research keywords and schedule the articles worth writing. #### Generate the plan Open Articles → Content Planning. The plan is based on the products, audience, and keywords in your Website Profile, so generate that profile first. RanklyBee researches search keywords, groups them into topic clusters, and plans one article per keyword. #### Review before you start Each planned article shows its target keyword, monthly searches, and keyword difficulty. Skip an article you do not want, or add instructions for the writer, such as your own experience with the topic. Then choose to start the plan and confirm. #### Work with the calendar Started articles go on your publishing schedule. Drag an article onto a free day to reschedule it, or choose Generate draft now to write it early. Later months are prepared automatically when they start, and skipped articles stay out. #### Know the limits Each article written and each keyword research run counts toward your plan’s monthly allowance. The plan is a proposal based on search data; it does not guarantee rankings or traffic. ### How do I manage article keywords? Source: https://ranklybee.com/help/manage-article-keywords (updated 2026-10-17) Research, import, and refresh the keywords behind your content plan. #### Review the keyword list Articles → Keywords lists the search keywords in your content plan and the article planned for each one. Keywords appear once RanklyBee has researched and planned your articles. #### Add keywords yourself Use Research keywords to look up a word or phrase and see its monthly searches and difficulty, or ask the assistant for keyword ideas. To bring your own list, import a CSV file; RanklyBee reads keywords from its first column. #### Keep the planner filled In Articles → Article Settings → Keywords, turn on Automatic Keyword Generation to keep 25–30 upcoming articles in your planner. New keywords are researched as articles are written. Describe the topics, angles, or audiences that matter most, and RanklyBee follows them. ### How do I review and approve articles? Source: https://ranklybee.com/help/review-and-approve-articles (updated 2026-10-17) Check drafts before they are published, or decide when review can be skipped. #### Open a draft Open an article from Content Planning or Content History. The editor shows the article, its research and SEO details, and the quality checks it passed or failed. Edit the text directly before you approve it. #### Approve or request changes A draft waits for approval before it is published. Approve it when it is accurate and in your voice, or request changes. Content History lists every generated article with its keyword evidence, status, and publication history. #### Decide how much to automate In Article Settings → Articles, three switches control how much happens without you: - Scheduled generation writes approved articles ahead of your publishing days. - Auto-approve approves scheduled articles that pass the quality checks without a review. - Auto-publish sends approved articles to your [default CMS connection](https://ranklybee.com/help/publish-articles-to-your-cms). Note: With Auto-approve and Auto-publish both on, articles go live on their publishing day with nobody reading them first. Turn both on only when you trust the output. ### How do I publish articles to my CMS? Source: https://ranklybee.com/help/publish-articles-to-your-cms (updated 2026-10-17) Connect an integration so approved articles reach your site. #### Connect an integration Open Articles → Integrations and choose your platform. Each website has its own integrations. - WordPress, with the RanklyBee plugin or an Application Password - WordPress.com - Webflow, Shopify, Wix, Framer, and Ghost - Notion, as rows in a database - A Next.js blog or an API webhook to your own endpoint #### Choose the default connection In Article Settings → Articles, pick the Default CMS connection. Auto-publish sends newly approved articles to it automatically. Without Auto-publish, you publish each approved article yourself. #### Check the publication record Integrations keeps a record of every publication. A publication can be pending, accepted by the CMS, verified on your site, or failed. When one fails, fix the connection and publish again. ### How do I set my article style and preferences? Source: https://ranklybee.com/help/configure-article-settings (updated 2026-10-17) Set your quality standards and brand voice once for every future article. #### Find the tabs Open Articles → Article Settings. Articles covers automation, publishing days, article style, global instructions, and engagement options. Keywords, Blog, Linking, and Improvements each have their own tab. An owner, admin, or editor can change these settings. #### Match your voice On the Blog tab, add articles you have already published. RanklyBee analyzes them and matches their tone, structure, and formatting. Add Global Article Instructions only if you have your own preferences, such as brand voice. #### Set up internal links On the Linking tab, add your sitemap URL and main blog address. RanklyBee scans the sitemap to find pages that already exist on your site and prefers pages under your blog address when it picks internal links. #### Choose engagement options Turn on a Table of Contents, relevant YouTube videos, a call-to-action with your website URL, infographics, or a small Written with Ranklybee line. These are added when the article is published. ### How do I improve articles that are already live? Source: https://ranklybee.com/help/improve-existing-articles (updated 2026-10-17) Find pages that are slipping and review the changes before they go live. #### Connect the two requirements Content Improvements finds articles to improve from Google Search Console data and updates them through your publishing integration. Connect Search Console in Insights → Search Performance and connect an integration in Articles → Integrations first. #### Detect opportunities Run Detect opportunities to scan your published pages against the latest Search Console data. RanklyBee looks for ranking, CTR, decline, content-gap, thin-content, and cannibalization signals and proposes a quality-checked change for each page. #### Review the change Compare the proposed version with the published content and edit it. Saving updates the improvement draft and does not change the published page. In Article Settings → Improvements you can schedule improvements automatically, and choose whether completed ones are pushed straight to your integration or wait for your review. #### Read the result honestly After a change, RanklyBee compares the two weeks after it with the two weeks before. The comparison is observed, not causal: search demand and Google updates can move results too. ### How do I add products to the Product Catalog? Source: https://ranklybee.com/help/add-products-to-the-product-catalog (updated 2026-10-17) Let articles feature your real products, prices, links, and pictures. #### Fill the catalog Open Articles → Product Catalog. Sync your active products from the Shopify store connected for publishing, import a CSV, or add products one at a time with a picture. #### Turn it on for articles Turn on Product Catalog in Article Settings so articles may name a product, with the name, price, and link you entered, when it is relevant to the topic. #### Keep it accurate Articles use exactly what the catalog says. Update a price or remove a discontinued product here before new articles are written. ## Help Center: Backlinks & source library Find quality sources, record placements, and verify the links you earn. ### How do I browse the Featured Backlinks library? Source: https://ranklybee.com/help/browse-featured-backlinks (updated 2026-10-17) Compare curated backlink sources before choosing an acquisition path. #### Search and filter sources Open Backlink Library from the Featured Backlinks section. Search by name, domain, or description, then filter by source type, pricing model, claimed link type, and account requirement. Sort the available library by quality, Domain Rating, traffic, or name. #### Use the activity views The library also exposes recently added and recently removed sources for the configured activity window. A removed source may be paused or retired; treat the activity reason and current entry details as the latest catalog evidence. #### Open the source details Open a source to review its description, quality signals, acquisition method, submission entry, requirements, and related sources. Follow the publisher’s current instructions yourself and verify the final public page before tracking a link. ### What do the Featured Backlinks source fields mean? Source: https://ranklybee.com/help/read-featured-backlink-source-fields (updated 2026-10-17) Understand Domain Rating, traffic, dofollow, acquisition, pricing, and account signals for a source. #### Quality and reach signals Domain Rating is a provider-supplied quality signal, and estimated monthly traffic is a provider estimate. Missing coverage is shown as an em dash. Compare these values with relevance to your audience instead of treating a higher number as an automatic recommendation. #### Link and acquisition fields Dofollow is the catalog’s claimed link type, while source type describes the placement context. Acquisition shows whether the source is typically reached through a submission, outreach, or another path. These are catalog fields and should be rechecked on the publisher’s live site. #### Pricing and account requirements Pricing can be free, paid, or unknown. Account requirement indicates whether the catalog currently expects an account, no account, or no applicable account step. Any fee, eligibility rule, or editorial decision belongs to the publisher, not RanklyBee. ### How do I track a backlink I already earned? Source: https://ranklybee.com/help/add-an-acquired-backlink (updated 2026-10-17) Create a tracker for a link you earned outside the automated workflow. #### Enter the two URLs Open Backlinks → Backlink Overview and choose Add backlink. Source page URL is the public page where the link appears. Target URL is the page on the active Project Site that receives the link. Both URLs are required. #### Capture what you expect Optionally enter the expected anchor text and select the expected rel attributes: nofollow, sponsored, or ugc. Leave the rel selection empty when any rel value is acceptable. These expectations help later checks identify changes. #### Choose the right Project The target URL must belong to the current Project Site, and the source must be a valid public page. Switch Projects before adding a placement for another website. A user needs backlink-management access to create the tracker. ### How does the backlink inventory scan work? Source: https://ranklybee.com/help/run-a-backlink-inventory-scan (updated 2026-10-17) Understand the provider-backed scan that seeds your backlink reporting. #### It starts on its own RanklyBee starts a backlink inventory scan when you set up a Project, and again before a backlink submission when no completed scan exists. The scan runs as a background job, so its status moves through pending and running before results are available. There is no button to start it by hand. #### Read the result in Backlink Overview When the scan completes, Backlink Overview refreshes its health cards, metrics, and backlink table. Links found before you started are counted as found before RanklyBee. If the scan found nothing, the page offers Track backlink so you can record a placement yourself. #### Treat imported data as a starting point A provider inventory helps establish the tracked set, but it does not replace checking the public source page. Review the imported placement and run a health check when you need current link evidence. ### How do I check a backlink and read its evidence? Source: https://ranklybee.com/help/check-backlinks-and-read-evidence (updated 2026-10-17) Run a single or batch health check and inspect what RanklyBee observed. #### Run one check or check the site In the Backlink Overview table, use Check backlink now on one row, or Check up to 10 to check a batch for the site. Checks inspect the public source page and save the observed link, anchor text, rel attributes, and evidence details. #### Compare expected and observed values The details view shows the observed link and anchor, check evidence, and the latest matching Search Console data when available. A live result means the expected target and conditions matched at the time of the check. #### Know what a check cannot prove A check is a time-stamped observation. It does not guarantee that a publisher will keep the link, that a page will remain accessible, or that the placement will improve rankings. Use the check history to understand change over time. ### What do the backlink statuses mean? Source: https://ranklybee.com/help/understand-backlink-statuses (updated 2026-10-17) Distinguish a live placement from a changed, lost, or uncheckable one. #### Live and changed Live means the expected link evidence is present. Changed means the page still has a related link but the expected target, anchor, or rel attributes differ from the tracker’s expectation. Review the evidence before contacting the publisher. #### Lost Lost means the target link was not found or the source page no longer provides the tracked placement. It is an observation from the latest check, not a statement about why the publisher changed the page. #### Blocked and error Blocked means the page could not be safely checked because of an access restriction, redirect, rate limit, or similar condition. Error indicates a failed fetch or processing problem. Neither status alone proves that the backlink is gone. #### Pending and closed Pending means the tracker has not completed its expected evidence cycle. Closed removes a tracker from active reporting after human review; it does not claim that the public page was deleted. ### What should I do when a backlink is lost? Source: https://ranklybee.com/help/resolve-a-lost-backlink (updated 2026-10-17) Use the recovery task when a verified placement needs attention. #### Open the task from the backlink row When a tracked placement needs recovery, the backlink details can show an open replacement task. Review the source, target, latest check, and task status before deciding whether to contact the publisher or pursue a new source. #### Update the task deliberately A task can be open, in progress, resolved, or dismissed. Add resolution notes that explain what happened. Resolving a task records the workflow state; it does not automatically create a replacement backlink. #### Keep the tracker separate A replacement opportunity is not the same as the original backlink. Add the new placement as its own tracker only after you have a source page and target URL, then run a fresh check for the new evidence. ### How do I read the Featured Backlinks overview? Source: https://ranklybee.com/help/read-featured-backlink-reports (updated 2026-10-17) Review placement coverage, recent activity, and verification health. #### Open the overview Featured Backlinks Overview summarizes the selected Project Site’s tracked catalog placements. It shows live coverage, pending verification, items needing attention, and confirmed live backlinks. #### Use the activity window The report separates recent activity from all-time totals. Review backlinks added, links that went live, and health checks for the selected period. A recent addition still needs a completed check before it should be treated as verified. #### Investigate attention items Changed, lost, blocked, and errored backlinks appear as attention items. Open the related placement and its check history to decide whether to retry, contact the publisher, create a replacement task, or close the tracker after review. ### What do the Backlink Overview metrics mean? Source: https://ranklybee.com/help/backlink-overview-metrics (updated 2026-10-17) Total backlinks, referring domains, Domain Rank, DR, dofollow share, and staleness. #### Totals Total backlinks counts every tracked placement for the website, excluding closed trackers, and shows how many were found before RanklyBee. Referring domains counts the unique source domains among them. #### Authority Domain Rank is your own site’s authority, snapshotted daily and charted over the last 15 days. Average DR is the average provider-supplied Domain Rating of your source domains; sources without a rating are left out. #### Link quality Dofollow backlinks is the share of observed links without a nofollow, sponsored, or ugc rel attribute. Stale backlinks are tracked links whose latest check is more than a day old. ## Help Center: Prospecting & outreach Discover prospects, prepare messages, and manage replies responsibly. ### How do I find outreach prospects from keywords? Source: https://ranklybee.com/help/discover-prospects-from-keywords (updated 2026-10-17) Use keyword-led discovery to find pages that may be worth reviewing. #### Prepare the discovery foundation Before starting, make sure the active Project has a connected website and a usable Website Profile. The discovery workflow uses the site context and selected keywords to look for pages that could mention or link to your product. #### Choose the search scope Open Settings in Prospects to choose the Domain Rating range and page types such as listicles, guides, comparisons, reviews, news, tutorials, and resource pages. These settings apply to future searches; existing prospects do not change. #### Start and monitor discovery Choose Find prospects, select the goal and keywords requested by the dialog, and start the background job. RanklyBee reports candidates, crawled pages, qualified prospects, failed queries, and any stop reason while you can review saved opportunities. #### Review before outreach Discovery is a research aid. Inspect the source page, qualification evidence, relevance, quality, risk, and contact availability before deciding whether to approve the opportunity for outreach. ### How do I find pages that link to my competitors? Source: https://ranklybee.com/help/find-competitor-backlink-opportunities (updated 2026-10-17) Look for external pages already linking to selected competitors. #### Select the competitor sources Open Competitor Backlinks and choose from the suggested competitor domains or enter the available selections. The discovery run accepts up to eight competitor domains and evaluates their external linking pages for possible relevance to your site. #### Start the provider-backed search Choose a goal and start competitor discovery. This workflow requires both the Outreach AI provider and DataForSEO configuration. If either capability is unavailable, the page explains that discovery cannot start yet. #### Do not copy a competitor blindly A page linking to a competitor is only a lead. Read the page, confirm the publisher and audience fit, inspect the evidence, and decide whether your product has a credible reason to be included before preparing outreach. ### How do I review and qualify prospects? Source: https://ranklybee.com/help/review-and-qualify-prospects (updated 2026-10-17) Turn discovery results into a focused, reviewable outreach queue. #### Filter the opportunity list Prospects can be searched and filtered by status, page type, contact availability, Domain Rating, and opportunity or quality signals. Use the evidence panel to inspect the source page and why it was proposed. #### Accept, reject, or block Keep an opportunity for outreach only when its context is relevant and the risk is acceptable. Reject a poor fit, or block a domain when you do not want it considered again. Blocking also stops related pending outreach work for that domain. #### Add a source manually when needed If you already know a relevant public page, use Add prospect in Prospects and enter its URL. Manual prospects still need human review and a contact before they can become a useful outreach item. ### How do I find or add a contact for a prospect? Source: https://ranklybee.com/help/find-and-verify-a-contact (updated 2026-10-17) Make sure outreach is directed to a relevant person and address. #### Use contact lookup carefully From a prospect, request contact enrichment when it is available. The page shows the remaining contact lookup allowance for the last 24 hours. A lookup can return a discovered contact, no result, or a provider failure. #### Review contact evidence Check the person’s name, role, email, source paths, and verification status before using the contact. A discovered address is a lead that still needs human judgment about relevance and permission to contact. #### Add a contact manually Use Add contact manually when you already have a suitable address. Enter the contact details required by the form and keep the record associated with the correct prospect and Project Site. ### How do I connect a sending mailbox? Source: https://ranklybee.com/help/connect-a-business-domain-mailbox (updated 2026-10-17) Set up the SMTP and IMAP connection used for outreach and reply sync. #### Open Outreach settings Open Backlink Outreach → Outreach settings and select the sending inbox setup. RanklyBee supports these providers: - Zoho Mail - Google Workspace - Fastmail - Other / custom SMTP and IMAP settings #### Use an eligible business address The sender and reply-to address must use a business domain. Personal Gmail and other public mailbox addresses are not supported by the product policy, even when the provider technically allows SMTP access. #### Complete provider setup For Zoho, select the region where the mailbox lives. For Google Workspace or Fastmail, enable the required IMAP access and create an app password. For a custom provider, enter its public SMTP and IMAP hosts, ports, and security modes. Use an app-specific password where the provider supports one. #### Let RanklyBee test both directions The connection is tested for sending and receiving before it is saved. Credentials are encrypted by the server and should never be pasted into a support request. After saving, check the connection and sender status in Sending inboxes. Note: Never paste a mailbox password or app password into a support request. If the test fails, see [Why does my mailbox connection fail?](https://ranklybee.com/help/mailbox-connection-fails). ### How do sending policies and warmup work? Source: https://ranklybee.com/help/configure-sending-policy-and-warmup (updated 2026-10-17) Set safe delivery windows and understand why a new sender ramps gradually. #### Set the policy In Outreach settings, open Sending inboxes to choose a verified sender, set its time window and allowed weekdays, and manage the daily cap and policy. Use Outreach to review drafts and schedule messages. Simulation observes the same window and cap; live delivery requires a verified mailbox. #### Warm up a new address A new sender starts with a limited daily capacity and progresses through warmup stages after successful real sends and scheduled stage gates. The UI shows today’s usage, current step, next milestone, and estimated full-speed date when available. #### Use Already warmed up honestly Owners and admins can declare an inbox already warmed only when it has a stable sending history. The declaration skips the ramp but does not create provider health evidence, so use it only for an address that is genuinely established. #### Fix health before live delivery Live Autopilot delivery requires a verified sender with healthy status and warmup ready. If warmup is paused, failed, or the sender is blocked, resolve the mailbox issue and refresh the sender state before trying again. ### How do I review and edit an outreach draft? Source: https://ranklybee.com/help/review-and-edit-a-personalized-draft (updated 2026-10-17) Check the reason for contact and the message before it enters a send queue. #### Open Outreach The Outreach workbench groups the prospect, contact, sender, template, draft, and delivery history. Select a Ready item to see the source context and the personalized subject and body. #### Check personalization Review the highlighted values, recipient, source page, target page, and reason the prospect was selected. Correct names, URLs, claims, and the requested action. Do not send a message whose context you have not reviewed. #### Edit or regenerate You can edit the subject and body directly, choose another template, or regenerate a draft when the provider supports it. The editor explicitly does not send a message; saving keeps the draft available for the next review step. #### Understand approval Submitting a draft moves it into the approval flow. Approved means ready for a later controlled send queue, not already sent. Suppression and sender state are checked again when the draft is approved or scheduled. ### How do I schedule an outreach sequence? Source: https://ranklybee.com/help/schedule-an-outreach-sequence (updated 2026-10-17) Queue an initial message and up to two human-reviewed follow-ups. #### Choose the delivery mode From a Ready draft, review the sequence and choose whether it should be queued for live delivery or handled in the available simulation path. Sending now is a separate action and is still checked against the sender policy and limits. #### Write the follow-ups A sequence can include up to two follow-ups. Each delay is between 1 and 30 days, and the delays must increase. Keep the subject and body specific to the conversation rather than adding generic volume. #### Queue one or many Queue a single sequence from the selected conversation or use the batch action for eligible Ready drafts. The result reports queued and skipped items; open the remaining Ready drafts when a contact, sender, suppression, or policy check prevents queueing. #### Stop when the situation changes Use Stop on a queued or active sequence to cancel pending deliveries or stop future follow-ups. A reply, unsubscribe, bounce, complaint, inactive contact, or sender problem can also suppress or stop later deliveries. ### How do I handle replies and unsubscribes? Source: https://ranklybee.com/help/handle-replies-and-suppression (updated 2026-10-17) Keep human judgment in the loop when a contact responds or opts out. #### Review replies in Outreach Open Outreach and choose the Replied filter. RanklyBee syncs inbound messages through the connected IMAP inbox and shows reply evidence and conversation context in the workbench. #### Review a suggested reply When RanklyBee proposes a reply, inspect the detected intent and suggested body. Edit it when needed, then explicitly queue the reply or dismiss the suggestion. An uncertain delivery state should be confirmed before sending another message. #### Stop the sequence A reply stops the existing follow-up sequence so the conversation can be handled intentionally. You can also stop it manually from the conversation or record an inbound event when you are reconciling an event from another inbox. #### Respect suppression signals Unsubscribes, bounces, complaints, and inactive contacts suppress future delivery. Do not work around a suppression state by creating a duplicate contact record; resolve the underlying reason and follow your communication policy. ### How does Backlink Outreach Autopilot work? Source: https://ranklybee.com/help/use-backlink-outreach-autopilot (updated 2026-10-17) Automate the repeatable parts of discovery and follow-up while retaining controls. #### Enable it from Automations Open Backlink Outreach → Automations and find Autopilot. Choose a goal such as unpaid editorial placements or paid placements, configure follow-up days, and review the automation controls before launching. #### Choose what automation may do The controls cover keeping keywords fresh, finding prospects, finding contacts, queueing outreach, following up, low-watermarks, and daily new-outreach or follow-up limits. Enable only the stages you are ready to supervise. #### Run, pause, and inspect Autopilot runs on its configured interval and the Project card shows the current policy and run counters. Owners, admins, and operators can run it now, pause all activity, or resume it. The Outreach Overview exposes exceptions that need review. #### Know the delivery gate Autopilot does not bypass sender health, warmup, suppression, or daily and monthly limits. Queueing can be enabled for safe, grounded drafts, while replies and lost-link recovery remain in human review; a run can also wait for an external provider or create an exception. ## Help Center: Leads & mentions Find buyers in public conversations, reply in your own voice, and watch your brand. ### How do I set up Leads? Source: https://ranklybee.com/help/set-up-leads (updated 2026-10-17) Start finding people who are asking for what you sell on Reddit, X, Hacker News, and more. #### Set up automatically Open Leads → Opportunities and choose Set up automatically. RanklyBee reads your Website Profile, describes your ideal customer, and proposes the searches to run. Review what will be created, then choose Confirm and start. Nothing is sent to anyone. #### Pick the platforms On the Leads overview, select the platforms to monitor for all your keywords: Reddit, X, LinkedIn, TikTok, YouTube, Instagram Reels, Threads, Facebook, Hacker News, and Bluesky. - LinkedIn has a higher search cost. - TikTok, YouTube, and Instagram Reels match titles and captions, not the spoken video. - Keywords are not scanned until at least one platform is selected. #### Check monitoring health The Leads overview shows what needs your attention today, qualified leads per day over the last 30 days, where your leads come from, and whether every source is being scanned and scored. Note: Next, learn [how leads are scored](https://ranklybee.com/help/how-are-leads-scored) and [how to reply](https://ranklybee.com/help/reply-to-a-lead). ### How do I choose lead keywords? Source: https://ranklybee.com/help/track-lead-keywords (updated 2026-10-17) Choose the phrases RanklyBee searches for in public conversations. #### Add keywords Open Leads → Keyword Tracking and add a keyword. Ask AI to suggest keywords in a chat, use Suggest to generate them from your website, or add one By hand. Each keyword holds up to three search phrases, plus optional exclude words for noise. #### Use the right type Keyword types are buyer intent, tool, competitor, topic, and brand. Buyer intent and competitor phrases, such as people asking for an alternative to a competitor, usually find the strongest leads. #### Mind the slot limit Lead keywords use plan slots shared across all your projects: 10 on Starter, 30 on Growth, and 80 on Scale. Pause tracking on a keyword that brings little value to free its slot. ### How do I qualify leads and move them through stages? Source: https://ranklybee.com/help/qualify-leads (updated 2026-10-17) Read the buying-intent score and keep your lead board current. #### Read the score Each post is scored against your ideal customer profiles from My Site → Audience. Without a profile, posts are scored on intent alone. [How is a lead scored?](https://ranklybee.com/help/how-are-leads-scored) explains what moves the score. - Hot (70+): actively looking for a solution - Warm (55–69): has a relevant problem or interest - Explore (40–54): loosely related to your product #### Move leads through stages Opportunities groups leads into To qualify, To contact, In conversation, and Closed. Open a lead to see why it is a lead, then move it to the next stage as you work it. #### Teach the scoring Answer Is this lead a good client? with a thumbs up or down. RanklyBee learns from your feedback. Refine your Audience profiles when the wrong people keep scoring high. ### How do I reply to a lead? Source: https://ranklybee.com/help/reply-to-a-lead (updated 2026-10-17) Write a helpful reply for the post, then publish it from your own account. #### Generate a draft Open a lead and generate a reply written for that post and your product. Choose a Peer, Expert, or Founder tone. Each draft counts toward your monthly reply allowance. #### Edit, copy, and post it yourself Edit the text and choose Save edit, then Copy it. RanklyBee never posts for you: open the post and publish the reply from your own account, following the community’s rules. #### Record what happened Choose Mark as posted after you publish, or Discard a draft you will not use. Drafts are unavailable when the post content is no longer stored. ### How do I monitor brand mentions? Source: https://ranklybee.com/help/monitor-brand-mentions (updated 2026-10-17) Know what people say about your product and reply while it still matters. #### Set your brand names On Leads → Keyword Tracking, open the brand card. RanklyBee suggests your product name and domain. Add up to three brand names, including other spellings, and exclude words that belong to something else with the same name. #### Review Mentions Leads → Mentions lists public discussions that mention your brand on the platforms you monitor. Negative mentions are shown in red so you can reach them first. #### Get alerted Set up an automation for a negative brand mention, a spike in negative mentions, or a weekly brand summary. Leads → Automations lists every trigger and channel. ### How do I send leads to Slack, email, or a webhook? Source: https://ranklybee.com/help/send-lead-and-brand-alerts (updated 2026-10-17) Push leads and mentions to Slack, Discord, email, or a webhook. #### Create an automation Open Leads → Automations, pick a trigger, and choose where to send it. Triggers include a hot lead, a competitor lead, a daily digest, a lead stage change, a negative brand mention, a negative mention spike, and a weekly brand summary. #### Choose a channel Send alerts to email, Slack, Discord, or a webhook. To reach a CRM or a spreadsheet, send lead stage changes to a webhook and connect it in Make, n8n, or Zapier. #### Verify webhook calls Each webhook has a signing secret. Use it on your endpoint to check that a request really came from RanklyBee, and keep it out of public code. ### How is a lead scored? Source: https://ranklybee.com/help/how-are-leads-scored (updated 2026-10-17) What the buying-intent score looks at and which posts become leads. #### Scored against your profiles Each post found by your keywords is scored from 0 to 100 against your ideal customer profiles in My Site → Audience. You can keep up to five profiles. #### What raises or lowers a score Target roles weigh the most. Posts that describe your listed pain points or use your intent phrases score higher. Authors who match Who to exclude, such as vendors, freelancers, or job seekers, are pushed down. #### Which posts become leads Posts scoring 40 or more become leads: Explore from 40, Warm from 55, and Hot from 70. Lower-scoring posts are not shown. Thumbs up and down feedback on leads is used to improve future scoring. ## Help Center: AI Visibility & search See how AI answers mention you and how your pages perform on Google. ### How do I add and manage AI Visibility prompts? Source: https://ranklybee.com/help/track-prompts-in-ai-visibility (updated 2026-10-17) Choose the questions RanklyBee asks AI engines on your behalf. #### Add prompts Open Insights → Prompts and add prompts in one of three ways: - Build Prompt with AI suggests prompts from a description of what you sell. - From GSC rewrites your real Search Console queries as prompts. It needs [a connected Search Console](https://ranklybee.com/help/connect-google-search-console). - Custom lets you write your own, or import a CSV file of up to 10 MB. #### Choose engines and frequency Each prompt runs on the engines you select: Google AI Mode, ChatGPT, Gemini, Claude, Perplexity, and Microsoft Copilot; Grok is coming soon. Run a prompt daily, weekly, or manually. Prompts are always asked from the United States, in English. Your plan sets which engines you can use: - Starter: ChatGPT, Gemini, and Google AI Mode - Growth: up to four engines - Scale: every engine Note: Learn how the results are measured in [How is the AI Visibility score calculated?](https://ranklybee.com/help/how-is-ai-visibility-calculated). #### Organize prompts A prompt’s type is commercial, competitor, or branded. Auto follows your brand and competitors, or you can set it yourself. Assign a topic to group prompts on the Prompts page. #### Mind the prompt limit Prompts use plan slots shared across all your projects: 50 on Starter, 150 on Growth, and 300 on Scale. Pause or delete a prompt to add another when you reach the limit. ### How do I read the AI Visibility overview? Source: https://ranklybee.com/help/read-the-ai-visibility-overview (updated 2026-10-17) Understand visibility, share of voice, and how you rank against other brands. #### Visibility and ranking Visibility is the share of AI answers in the selected period where your brand appeared at all. The LLM Visibility Score & Ranking card shows how you rank against every other brand that AI engines mentioned. #### Share of voice Share of voice is your share of mentions among brands in your market. Platforms such as Reddit and YouTube, and brands you hide, are left out so that all shares total 100%. #### Filter the view Use the time window, engine filter, and the branded or unbranded filter to change what every Overview card counts. The Overview stays empty until your prompts have run at least once. #### Treat answers as samples AI answers change from run to run. Read trends across several runs instead of reacting to one answer. ### How do I see which competitors and sources AI cites? Source: https://ranklybee.com/help/compare-competitors-and-citations (updated 2026-10-17) See which brands AI recommends and which sources it cites. #### Competitors Insights → Competitors places every tracked brand by visibility and sentiment, with bubble size showing share of voice, and compares brands side by side. Use Manage competitors to hide a brand from share of voice, rank, and the leaderboard. #### Citations Insights → Citations lists the domains and pages AI engines cite in answers about your brand and topics. For each source you see how often it was cited, by which engines, for how many prompts, and what type of source it is. #### Act on what you find A frequently cited page is a good target for a mention or a backlink. The Engagement Opportunities card on the Overview points to discussions where joining in could make your brand more likely to appear in future answers. ### What are sentiment drivers? Source: https://ranklybee.com/help/understand-sentiment-drivers (updated 2026-10-17) Learn how AI engines talk about your brand and competitors. #### Where sentiment comes from Insights → Sentiment Drivers extracts sentiment from every AI answer that mentions your brand. Run your prompts from the Prompts page first; drivers appear once recent answers are analyzed. #### Read the drivers Drivers show what lifts your sentiment and what pulls it down, so you can reinforce strengths and address weak points on your own site and in public sources. Open a driver to see the answers behind it. #### When nothing appears If no analyzed answer in the period mentions your brand, there are no drivers to show yet. The page still shows how AI engines talk about your competitors. ### How do I connect Google Search Console? Source: https://ranklybee.com/help/connect-google-search-console (updated 2026-10-17) Bring finalized Google clicks, impressions, CTR, and position into RanklyBee. #### Connect Google Open Insights → Search Performance and choose Connect Google. RanklyBee requests read-only access. The Google account must have access to a Domain property or a matching URL-prefix property for the Project website. An owner or admin must connect it. #### Wait for the history RanklyBee imports up to 16 months of Search Console history, and analyses fill in as weeks arrive. Data is finalized, so the sync window ends three days before today. #### What it unlocks Search Console data powers Search Performance, Content Improvements, and the From GSC prompt builder in AI Visibility. #### Disconnect Disconnecting stops syncing the site and deletes its synced Search Console data. Logged changes and past diagnoses stay, and you can connect again at any time. ### Why did my search traffic drop? Source: https://ranklybee.com/help/diagnose-a-search-traffic-drop (updated 2026-10-17) Use Health, Diagnose, Changes, and Opportunities to explain and act on a drop. #### Watch Health The Health tab flags unusual drops once it has at least four complete weeks of daily data. Critical alerts are emailed right away and start a drop diagnosis. Warnings are included in the weekly report, at most two a month. #### Run a diagnosis Diagnose checks whether a drop is real, when it started, how big and broad it is, and which of your changes or Google updates line up with it. Run it again after the first full week if the drop is too recent for complete page-level data. #### Log your changes Use Changes to log edits you make to a page. Measurement starts three days later, and RanklyBee compares clicks with comparable pages. Avoid a second change on a page while its measurement window is open. #### Find CTR opportunities Opportunities lists pages ranking around positions 3–15 whose click-through rate is well below your site’s own median, ranked by estimated lost clicks. Alerts and diagnoses never change your site. ### How is the AI Visibility score calculated? Source: https://ranklybee.com/help/how-is-ai-visibility-calculated (updated 2026-10-17) What visibility, sentiment, average position, and share of voice measure. #### Visibility Visibility is the share of AI answers in the selected period and engines that mention your brand. The chart shows the same share for each day. Note: Example: 10 prompts on 3 engines give 30 answers per run. If your brand appears in 12 of them, your visibility is 12 ÷ 30 = 40%. #### Sentiment Sentiment measures how favorably answers describe a brand when they mention it, from 0 (negative) to 100 (positive). Answers that do not mention the brand do not count. #### Average position When an answer lists several brands, position is where the brand appears in that list. #1.0 means it was always listed first. A lower number is better. #### Share of voice and rank Share of voice is a brand’s share of all brand mentions in your market, leaving out platforms such as Reddit and YouTube and any brands you hide, so all shares total 100%. Your rank is your place among every brand AI engines mentioned, ordered by visibility. #### Why the numbers move Adding or pausing prompts or engines changes what is counted. AI engines also change their answers as they read new content, so compare trends over several runs. Note: Mentions and citations are measured differently; see [What is the difference between mentions and citations?](https://ranklybee.com/help/mentions-vs-citations). ### How does RanklyBee collect AI answers? Source: https://ranklybee.com/help/how-ai-answers-are-collected (updated 2026-10-17) Where each answer comes from, and why it may differ from your own search. #### From the engine’s interface For ChatGPT, Gemini, Google AI Mode, Perplexity, and Microsoft Copilot, RanklyBee captures what the engine’s user interface shows, through data providers. Run history labels these answers User interface. #### From a model API For Claude, RanklyBee asks the model through its API with web search turned on. Run history labels these answers Model API with web search. #### Why your own answer may differ Every prompt is asked from the United States, in English, without your personal history. AI engines personalize and vary their answers, so a single answer you see can differ from the one RanklyBee recorded. ### What is the difference between mentions and citations? Source: https://ranklybee.com/help/mentions-vs-citations (updated 2026-10-17) A mention names your brand; a citation links to a source. #### Mentions A mention is your brand name appearing in the text of an AI answer. Visibility, sentiment, position, and share of voice are all built from mentions. #### Citations A citation is a source URL the engine referenced, either inline in the answer or as a source it consulted. The Citations page groups them by domain and page. #### Why both matter Citations show which pages AI engines trust for your topics. Being mentioned on those pages, through a review, a forum reply, or a backlink, is one of the most direct ways to earn more mentions in future answers. ### What do clicks, impressions, CTR, and position mean? Source: https://ranklybee.com/help/search-performance-metrics (updated 2026-10-17) How Search Performance reads Google Search Console data, and why numbers can differ slightly. #### The four metrics Impressions count how often your pages appeared in Google results. Clicks count visits from those results. CTR is clicks divided by impressions. Position is the average ranking of your pages for the queries that showed them. #### Finalized data only RanklyBee shows finalized Search Console data, so the latest day is three days before today. Page totals use the latest finalized 28-day window. #### Why it may differ from Search Console Numbers match the property you connected. A different property, date range, or Google’s own revisions to recent days can explain small differences. ## Help Center: Billing, plans & account Manage your plan, trial, usage, invoices, security, and API access. ### How does the paid trial work? Source: https://ranklybee.com/help/start-a-paid-trial (updated 2026-10-17) Try a plan for 3 days, see what the trial includes, and cancel before you are charged. #### How the trial works Plans bought through Stripe checkout, monthly or yearly, can start with a 3-day trial. You pay a one-time trial fee of $19.99 at checkout, and the plan price is charged automatically when the trial ends. Each account can start one trial. #### What the trial includes The trial opens every module of the plan you picked. Slots, such as projects and prompts, match the plan. Monthly allowances, such as articles and contact lookups, are reduced to 30% of the plan’s allowance until the trial ends. #### Cancel before the trial ends Follow [How do I cancel my subscription?](https://ranklybee.com/help/how-to-cancel-your-subscription) before the trial ends. The plan price is then not charged, and the Billing page shows that your trial is set to end without renewing. Note: The trial fee is not refunded, even if you cancel on the first day. ### How do plans, limits, and usage work? Source: https://ranklybee.com/help/manage-your-plan-and-usage (updated 2026-10-17) Compare plans, track what you have used, and know what happens at a limit. #### Review Billing and Usage Open Settings → Payment & Billing → Billing to see your current plan and compare Starter, Growth, and Scale. Settings → Usage shows what your plan includes and what you have used this month. #### Slots and monthly allowances Slots limit how many things exist at once, such as projects, team members, sending inboxes, AI Visibility prompts and engines, and lead keywords. Pausing or deleting an item frees its slot. Monthly allowances, such as articles, keyword research, contact lookups, and outreach emails, reset on the first day of each month (UTC) and do not roll over. Prompts, lead keywords, and every monthly allowance are shared across all your projects; team members and sending inboxes are counted per project. Usage shows your total and, when you have several projects, the current project’s part. Note: Unused allowances do not carry over; see [Do unused monthly allowances roll over?](https://ranklybee.com/help/do-unused-allowances-roll-over). #### When you reach a limit The message names the limit and, for allowances, the date it resets. Choose Upgrade now on the Billing page to raise it. Contact support if you need limits above the Scale plan. #### Change or cancel Choose Manage billing to open the billing portal for payment methods, cancellation, and subscription actions. The Billing page offers upgrades only; contact support to move to a smaller plan. When you move to a smaller plan, prompts and lead keywords above the new limits are paused across your projects, newest first, and you can resume them when there is capacity. #### Invoices and refunds Settings → Payment & Billing → Invoices links to the billing portal, where you can download every invoice. Fees are non-refundable unless the law or checkout says otherwise. If you have a billing problem, contact support and include the email on your account. ### How do I manage my profile, security, and API tokens? Source: https://ranklybee.com/help/manage-profile-security-and-api-access (updated 2026-10-17) Keep account details current and create narrowly scoped integrations. #### Update Profile Settings → Profile lets you update the account name and avatar, and review the sign-in email or linked phone shown for the account. Uploaded avatars must be supported image types and are limited to 5 MB. #### Review Security Settings → Security shows the active login method and password actions supported by the account. Social-login accounts are managed through the social provider; password reset flows send the reset message through the configured email service. #### Create a scoped API token Settings → API creates a token with a name, selected permissions, expiration, and one or more manageable Projects. Grant only the data access the integration needs. The full token is shown only once, so copy it immediately and store it securely. #### Revoke unused tokens The API page lists active tokens, scope, expiration, last use, and revocation actions. Revoke a token you no longer recognize or need; existing integrations using it will stop working. ## Help Center: Troubleshooting Understand blocked jobs, provider requirements, and check results. ### Why is my Project or a page empty? Source: https://ranklybee.com/help/why-is-my-project-empty (updated 2026-10-17) Check site scope, profile readiness, and background jobs in the right order. #### Confirm the active Project Use the Project switcher and confirm that the selected site is the one you intend to work on. Every page, from Articles and Backlinks to Leads and AI Visibility, scopes its data to the active Project Site. #### Connect a website If the page says Connect a website first, choose Add website or create a Project for a public website from the Project switcher. Without a Site, no module has a target context. #### Start the relevant job An empty Backlink Overview may mean the inventory scan is still running or no backlink has been tracked yet; use Add backlink to record one. An empty Content Planning page may mean the plan has not been started. Empty Prospects or Opportunities pages may mean discovery has not started. AI Visibility stays empty until your prompts have run. Many pages also need a generated Website Profile first. #### Check permissions Viewers can read data but cannot perform every management action. Ask the Project owner or admin to check your role when a button is missing or disabled. ### Why is my Website Profile analysis pending or failed? Source: https://ranklybee.com/help/site-profile-analysis-is-pending-or-failed (updated 2026-10-17) Recover when the website analysis has not produced an editable profile. #### Pending is a background state Site Profile generation is queued and processed in the background. Keep the Project open or return later; the page polls the analysis job while it is pending, queued, running, or scheduled for retry. #### Check the website first The connected URL must be a public website that RanklyBee can safely reach. Verify the URL, redirects, robots or access restrictions, and that the homepage returns a usable response before retrying. #### Retry with the current site context When the job is failed, an owner, admin, or editor can choose Retry with AI or Regenerate with AI. Review the resulting fields instead of assuming the new draft is correct, then save any necessary edits. #### Contact support with evidence If retries keep failing, include the Project website URL, job status, visible error text, and approximate time of the attempt. Do not include passwords, API keys, or mailbox credentials. ### Why is prospect discovery blocked or stalled? Source: https://ranklybee.com/help/prospect-discovery-is-blocked-or-stalled (updated 2026-10-17) Separate provider configuration, search failures, and a normal background run. #### Check the required foundation Keyword discovery needs a connected Site, a usable profile, and the configured Outreach AI provider. Competitor backlink discovery additionally needs DataForSEO. The page exposes the missing provider state when the run cannot start. #### Read the progress panel A run can continue in the background after its initial pass has promoted prospects. Review candidates, crawled pages, qualified results, failed queries, and the stop reason. Saved opportunities remain available when some search sources cannot be reached. #### Adjust future settings Use Prospects → Settings to review the Domain Rating range and page types. Searches always run on Google in the United States, in English. Settings apply to future searches only. They do not retroactively rewrite existing opportunities. #### Retry only after identifying the cause If the job failed because a provider or site was unavailable, fix that dependency before starting another run. If only some sources failed and qualified opportunities were saved, review the saved evidence before launching a duplicate search. ### Why does my mailbox connection fail? Source: https://ranklybee.com/help/mailbox-connection-fails (updated 2026-10-17) Resolve the common provider, domain, port, and app-password issues. #### Check the address policy Use a business-domain mailbox. Personal Gmail and other public mailbox addresses are rejected by RanklyBee’s outreach policy even if their provider credentials are otherwise valid. #### Check the provider details For Zoho, choose the correct region so the SMTP and IMAP hosts match the account’s data center. For Google Workspace or Fastmail, use a provider app password and enable the required IMAP access. Do not use your normal account password when an app password is required. #### Check custom server settings For Other / custom, verify that both SMTP and IMAP hosts resolve publicly, the ports are correct, and the selected TLS or STARTTLS mode matches the provider. Port 25 is not a supported shortcut for this setup. #### Reconnect after changing provider settings After correcting the provider configuration, reconnect the mailbox so RanklyBee can retest both sending and receiving. If the mailbox connects but no sender appears, refresh the Sending inboxes card and wait for sender initialization. ### Why is my sender not ready for live outreach? Source: https://ranklybee.com/help/sender-is-not-ready-for-live-outreach (updated 2026-10-17) Understand the verification, health, and warmup gates before sending. #### All three gates must pass A live sender needs a verified identity, healthy status, and warmup ready status. A connected mailbox alone is not enough to unlock live Autopilot delivery. #### Read the warmup state Warmup pending means the sender has not started. Warming means the daily capacity is intentionally limited. Ready means the current full limit is available. Paused or failed means the sender needs attention before automated delivery. #### Check policy and daily capacity A sender policy must be active and its sending window must currently allow delivery. Review the daily cap, today’s usage, queued count, Project time zone, and any monthly allowance message before retrying. #### Do not create a second sender to bypass a gate Resolve the original mailbox or health issue. Duplicating senders can create more suppression, warmup, and deliverability problems instead of making the blocked sender safe. ### Why is an outreach send blocked? Source: https://ranklybee.com/help/outreach-send-is-blocked (updated 2026-10-17) Find the exact gate that prevented a message from being delivered. #### Recheck the draft and contact A send can be blocked when the selected contact is inactive or suppressed, the required address is missing or invalid, or the draft is not in a sendable state. Review the prospect context and current contact before trying again. #### Recheck the sender The sender must be active, verified, healthy, and within its warmup and daily policy limits. If the message is scheduled outside the configured window or weekday, it remains queued or is deferred rather than sent immediately. #### Understand stopped and suppressed deliveries Stopped or canceled deliveries are not transient provider failures. They reflect a deliberate sequence stop, reply handling, suppression, or policy decision. Review the conversation and delivery history before creating a new action. #### Capture the error safely For a persistent failure, record the Project, sender status, recipient domain, delivery status, and visible error code or message. Never send the mailbox password, app password, access token, or full message credentials to support. ### Why is a backlink check blocked or failing? Source: https://ranklybee.com/help/backlink-check-is-blocked-or-errors (updated 2026-10-17) Diagnose a failed fetch without mistaking it for a lost link. #### Validate the source page Confirm that the source URL is the actual public page where the link should appear, not only the site homepage. Check that it loads without an authentication wall, temporary rate limit, or redirect to an unrelated domain. #### Interpret blocked versus error Blocked generally means the fetch was prevented by an access restriction, unsafe redirect, or rate limit. Error generally means the request or processing failed. Both require a later retry or investigation before you conclude the placement is lost. #### Run a fresh check After the publisher or network issue is resolved, use Check backlink now again. Review the new evidence and timestamp. If the source page has moved, close the outdated tracker only after deciding whether the new URL should be recorded separately. #### Ask for a focused investigation Contact support with the source URL, target URL, Project, backlink ID if visible, latest status, and error text. Do not include credentials or assume an error proves the link was removed. ### Why is my API token not working? Source: https://ranklybee.com/help/api-token-is-not-working (updated 2026-10-17) Check scope, Project access, expiration, and revocation before rotating credentials. #### Confirm the token is active Open Settings → API and check the token’s expiration and last-used state. A revoked or expired token will stop an integration from reading data. #### Confirm Project scope Tokens can be attached only to Projects you manage. If an integration needs a new Project, edit the token scope through the supported flow or create a new token with the required access. #### Confirm permissions Grant the specific read permission required by the documented endpoint. A valid token with insufficient scope is still denied. Avoid granting all available access as a troubleshooting shortcut. #### Rotate safely Create the replacement token, update the integration, verify it can read the intended data, and then revoke the old token. The full token is shown only at creation, so do not wait until after leaving the page to copy it.
